Our New Remote Implementation Process: Get Up and Running from Anywhere in the World

Just as businesses turn to hosted remote solutions like Rapport3 to help their team work from home in the long-term, we have had to review our Implementation process to ensure that we can meet the needs and go-live dates of our new UK-based and international clients. Fast, effective and time-saving, it has already been a big hit. Here is how we do it. 


Now organisations have become accustomed to the remote working challenge and begin to prepare for the ‘new normal’, many are reviewing hosted solutions which will enable them to manage their projects remotely, irrespective of where their staff are located. The result of this is that we are now seeing an uptake in new clients wanting to implement Rapport3 to take advantage of its hosted functionalities. 
 
The onset of coronavirus and the nationwide lockdown forced us to re-evaluate how we implement Rapport3, with the sudden move away from face-to-face demonstrations and meetings disrupting our usual process. Fortunately, prior to the lockdown a good percentage of the work required for the implementation of Rapport3 was already delivered remotely, so delivering the remainder of the implementation without visiting a clients' site was relatively simple for our Operations team. So far, clients have actually been shown to favour the remote implementation, as they don’t have to allocate a full day to spend with our implementation team. That means they can still focus on running their businesses, with just a focused couple of hours at a time required for a remote training session. 
 
An example of this is one of our most recent clients: i2c , an Australia-based architectural practice with offices in Sydney, Melbourne, Brisbane and Perth. With some pretty severe restrictions on flights and isolation on entry to Australia, remote implementation was the only way to ensure we could meet our clients' needs and their go-live target date. With our remote implementation process, they were able to continue business-as-usual whilst we helped them move over to Rapport3. 
 
So, how does Rapport3 remote implementation work?
 
A typical implementation consists of a number of core elements:
 
  • Project kick-off - A 1-hour introductory meeting to discuss the project and objectives.
  • Process mapping - A number of 2-3 hour web sessions with key personnel to understand and document the clients needs/processes. 
  • Documentation and production of a requirements specification & process mapping report - For the client to review & sign off. 
  • Configuration of Rapport3 - As per requirements/process mapping document. 
  • Data migration preparation - The provision of templates to the clients in preparation for the data migration. 
  • Migrating the data into Rapport3 - As per the finished templates. 
  • Integrations - Discussion around any necessary integration modules (primarily accounts systems). 
  • User training - Delivery of end user training (these are recorded for clients to refer back to following the training). 
 
Depending upon the clients requirements and which modules they have purchased, the time taken for the above implementation from sign-off to go-live can be anywhere between 6-12 weeks.
 
So, from the clients’ perspective they can be up, running and productive quickly, able to manage their projects and pull live data from Rapport3 within a few months.
